What you’ll be doing
As the EncompaaS Functional Lead, you will be the primary functional authority guiding clients through the design, configuration, and adoption of the EncompaaS Intelligent Information Governance platform. You will work closely with business stakeholders, information managers, compliance teams, and technical specialists to shape governance frameworks, metadata models, policies, and classification structures that meet real-world information governance and risk requirements.
Your role is responsible for translating organisational governance needs into a well-designed and effectively configured EncompaaS solution. You will lead requirements workshops, design governance models, oversee configuration, validate functionality, and drive user understanding and adoption of the platform. You will also play a crucial role in shaping customers’ information governance maturity through strategy, roadmap development, and best-practice leadership.
This role requires strong functional expertise across information management, classification, record-keeping, compliance, and governance, paired with a deep understanding of how the EncompaaS platform delivers automated policy management, classification intelligence, risk detection, and lifecycle management across Microsoft 365 and other enterprise repositories.
Key Responsibilities:
Engagement & Requirements Gathering
• Lead workshops with information owners, governance teams, risk managers, and business users to define information governance requirements.
• Document business needs related to classification, retention, risk remediation, compliance, and content lifecycle management.
• Map current-state information behaviour to future-state governance models supported by EncompaaS.
Governance Strategy, Road mapping & Best Practice
• Assess clients’ information governance maturity, gaps, and risks; create roadmaps for uplift and EncompaaS adoption.
• Provide expert guidance on IG, RM, IM, compliance, metadata governance, and defensible disposal best practices.
• Advise on retention models, policy frameworks, metadata standards, and governance alignment across the enterprise.
Solution Design & Functional Architecture
• Design business-aligned EncompaaS configurations, including:
- Classification models
- Metadata schemas
- Governance policies
- Risk detection rules
- Information lifecycle automation
• Define how EncompaaS should be implemented to meet governance requirements across Microsoft 365, file shares, and other repositories.
• Produce solution designs, functional specifications, diagrams, and information models to guide technical teams.
Configuration & Implementation
• Configure EncompaaS classification models, policies, retention rules, and governance automation based on agreed functional designs.
• Work with technical consultants to validate connectors, ingestion models, and integrations across content sources.
• Assist in setting up pilot groups, testing environments, and implementation phases aligned to governance rollout strategies.
• Support multiple project streams simultaneously, ensuring governance consistency across the enterprise.
Testing, Validation & Quality Assurance
• Lead functional testing for EncompaaS configurations, including policy validation, classification assessment, and lifecycle triggers.
• Prepare and manage UAT scripts, aligning all test cases with governance and compliance requirements.
• Validate that EncompaaS automation behaves as intended across multiple content repositories and use cases.
Training, User Support & Change Leadership
• Develop and deliver training for governance teams, records officers, administrators, and business users.
• Support adoption through clear communication, user guides, governance playbooks, and change management input.
• Conduct readiness assessments to ensure users understand new governance processes, behaviours, and tooling.

What will make you successful in this role?
• 5+ years’ experience in Information Governance, Information Management, Records Management, or related domains.
• Strong functional expertise in metadata design, classification, retention schedules, governance frameworks, and compliance obligations.
• Demonstrated experience translating business needs into functional designs for modern information governance platforms.
• Experience working in collaborative, customer-facing, and advisory environments.
• Experience engaging senior business leaders and presenting governance strategies and findings.
• Prior experience delivering projects involving Microsoft 365 governance, compliance, or records uplift is highly desirable.
• Exposure to the EncompaaS platform (or similar platforms like Microsoft Purview, RecordPoint, OpenText Content Manager, OpenText xECM) is highly advantageous.
Qualifications:
• Degree in Information Management, Knowledge Management, Records Management, Information Governance, or equivalent experience.
