Executive Assistant to the CEO

What you’ll be doing

The Executive Assistant (EA) to the CEO provides high-level executive support, ensuring the CEO’s office operates efficiently, effectively, and professionally. The role acts as a trusted partner, managing complex schedules, communication, priorities, and stakeholder relationships. The EA represents the CEO both internally and externally, exercising sound judgement, discretion, and initiative at all times. The EA coordinates company-wide events, special projects and impactful programs.

 

Key Responsibilities

  1. Executive Support
    •    Manage the CEO’s calendar, arrange meetings, coordinate appointments, and ensure optimal time management.
    •    Prepare briefing notes, agendas, presentations, and meeting materials.
    •    Coordinate domestic and international travel, accommodation, itineraries, and logistics.
    •    Monitor and prioritise emails and correspondence on behalf of the CEO.
    •    Track and follow up on actions, commitments, and deadlines.
    •    Assist with Board and Executive Leadership Team (ELT) meeting coordination.
  2. Communication & Stakeholder Management
    •    Act as the primary point of contact between the CEO and internal/external stakeholders.
    •    Draft, proofread, and edit communications, reports, and presentations.
    •    Build strong working relationships with senior leaders, clients, partners, and suppliers.
    •    Coordinate CEO participation in internal events, leadership forums, and communications.
  3. Office & Project Coordination
    •    Support special projects, strategic initiatives, and business programs as directed by the CEO.
    •    Conduct research, compile data, and prepare summaries/reports.
    •    Organise Town Halls, events, workshops, and leadership offsites.
    •    Maintain confidentiality of sensitive corporate information at all times.
  4. Operational & Administrative Excellence
    •    Manage expense claims, invoices, and procurement requests for the CEO’s office.
    •    Streamline administrative processes and implement continuous improvements.
    •    Maintain files, records, and document management systems.

  • Occasional travel interstate 

 

What will make you successful in this role? 

Experience

  • 5+ years’ experience as an Executive Assistant or Senior Administrator supporting C-suite or senior executives.
  • Experience within professional services, technology, consulting, or corporate environments (highly regarded).
  • Demonstrated capability in managing sensitive information and high-volume workflows.

  • Strong written and verbal communication skills with meticulous attention to detail.
  • High level of professionalism, integrity, and emotional intelligence.
  • Proactive, resourceful, and able to work independently under pressure.
  • Strong relationship-building skills and stakeholder management capability.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to anticipate needs, think ahead, and solve problems effectively.

 

Qualifications

  • Tertiary qualification in Business Administration, Management, Communications, or related discipline (preferred).
